Privacy Policy

1. Controller and contacts

Aqora Quantum SAS is the data controller for personal data processed via this Site.

We collaborate with Quantinuum, the University of Bradford, and the City of Bradford for the event. Where we share personal data with Partners or sponsors for their independent purposes (e.g., sponsor outreach), they act as independent controllers and will provide their own privacy notices.

2. What this policy covers

This policy explains what personal data we collect through the Site, how we use it, with whom we share it, how long we keep it, and your rights under EU GDPR and UK GDPR.

3. Personal data we collect

Information you provide: name, title, email address, organisation/institution, expertise/domain, and any information you include in free‑text fields. As the event approaches we may also collect dietary requirements and access needs for logistics.

Automatically collected data: standard technical information (IP address, device/browser, pages viewed, timestamps) via Google Analytics 4 (GA4). Non‑essential analytics run only after consent (see Cookie Policy).

We do not intentionally collect special‑category data. Please avoid sharing sensitive information.

4. Purposes and legal bases

  • Event administration and communications (e.g., confirming your registration of interest; updates; logistics): legitimate interests (to organise and run the event) or consent where required. You may object at any time (see Section 10).

  • Partner & sponsor collaboration (e.g., shortlisting, outreach, joint programming): legitimate interests for the event’s delivery. We share only what is necessary and expect Partners/sponsors to provide their own privacy notices when they contact you.

  • Marketing communications (e.g., newsletters about Quantum Bradford 2025 or related Aqora activities): consent. We use double opt‑in and provide unsubscribe in every email.

  • Analytics and performance (GA4): consent. Disabled by default until you grant consent via the cookie banner.

  • Security, fraud prevention, legal compliance: legitimate interests and/or legal obligation.

5. Sharing of personal data

We share data with:

(a) Partners (Quantinuum, University of Bradford, City of Bradford) and selected sponsors for event delivery, evaluation, and relevant outreach;

(b) Processors acting on our instructions, including website hosting (Framer), email and productivity (Google Workspace/Gmail), forms/storage (Google Sheets/Drive), and Google Analytics 4.

Where data is transferred outside the EU/UK, we rely on appropriate safeguards (e.g., Standard Contractual Clauses) and risk assessments.

6. International transfers

Some recipients (e.g., Google, global sponsors) may be located outside the EU/UK. In those cases, we implement transfer safeguards such as SCCs and limit the data shared to what is necessary.

7. Retention

  • Event operations (registration of interest, selection, logistics): retained up to 18 months after the event concludes (unless a longer period is required to resolve issues or disputes).

  • Sponsor/partner correspondence: retained up to 24 months after the event for reporting and community follow‑ups.

  • Marketing lists: until you unsubscribe or your consent is otherwise withdrawn.

  • Analytics data: retained in GA4 according to our configuration (currently 14 months or less).

    We may keep limited records as required by law (e.g., compliance records).

8. Children

Under‑18s may register and participate only with parental/guardian consent. If we discover data was provided without required consent, we will delete it.

9. Security

We use appropriate technical and organisational measures to protect personal data. No method of transmission or storage is 100% secure.

10. UK Representative (UK GDPR – Article 27)

Aqora Quantum SAS has appointed the following UK representative for matters related to the processing of personal data of individuals in the United Kingdom:

The representative is authorised in writing to be contacted on our behalf on all issues related to UK data protection and, in particular, to liaise with the UK Information Commissioner’s Office (ICO) and UK data subjects. This appointment does not affect Aqora Quantum SAS’s own responsibilities or liability under the UK GDPR. UK data subjects may contact either our UK representative or us directly using the contact details provided in this Privacy Policy.

11. Your rights (EU/UK)

You have the right to access, rectify, erase, restrict or object to processing, and to data portability. Where processing is based on consent, you may withdraw consent at any time. You may also lodge a complaint with your local supervisory authority (e.g., CNIL in France or the ICO in the UK). To exercise rights, email privacy@quantumbradford2025.com.

We may update this policy and will post the new version on this page with an updated date.
